In the [Sales Order Entry] screen, Confirmed Sales Orders or Preliminary Orders (order reservations) can be registered. After making the Sales Order Entry, order progress can be monitored through various screens. Progress of each Sales Order is shown in different colors to indicate its current status. More specifically speaking, [Tentative Orders] (reservation) are displayed in yellow color, [Partially Delivered] Order are displayed in purple color, [Delivery Completed] orders are displayed in gray color, and [Invoiced] orders are displayed in black color. (Please note that the progress of the completed orders can be shown only when [Show Completed] is set to [Show] in the View Options.)

It is possible to register multiple items within the one Sales Order. Each item within the Sales Order is organized by the Product Number which consists of Sales Order Number and hyphen (-) and the branch number. If [Register Delivery at the same Time] is checked in the Order Entry/Edit screen, Delivery entry will be automatically made when the Sales Order Entry is completed. Additionally, if [Print Delivery Sheet at the Same Time] is checked, Delivery Sheet will be printed at the same time.

[New/Modify (Header)] Section
Sales order No. This is the number to identify the sales order. If there is no input, the number will be assigned automatically. Default number structure is "A" + 2 digits of the year + 2 digits of the month + 5 digits of serial number in each month. Text Input Optional
Quote reference It is possible to copy the contents of the quote by specifying the [Quote No.] from this list. Extended Dropdown Box Optional
Customer order No. The Purchase Number from customer can be registered manually. Text Input Optional
Sales status This flag is used to indicate the confirmation level of the sales order. Following two options are available.
  • confirmed
    This status shows that the order is confirmed.
  • tentative
    This status shows that the order has not been confirmed. In the MRP Calculation screen, tentative orders will be ignored by the MRP calculation unless [Include tentative sales order] is enabled.
  • Dropdown List Mandatory
    Customer Choose the customer who placed the order. Only contacts with which [Contact type] is set to customer in the Contact Master can be chosen. Extended Dropdown Box Mandatory
    Date of sales order received Specify the date on which the order is received. Today' s date is automatically supplied by default. Date Input Mandatory
    Consignee Select the consignee entity of the sales order. Only the contact with which [Contact type] is set to customer or consignee can be selected. By default, the orderer will be set to this field. The information set to consignee will be used for the Shipping Instruction and the Delivery Sheet. Text Input Optional
    Price adjustment rate By setting this field, default [Sales order unit price] displayed in the Sales Order Entry will be determined by multiplying this rate and [Standard sales unit price]. However, Customer Sales Price Master: [Customer sales price] takes precedence if defined. Display Only Optional
    Staff (Own company) Register the person who is in charge of this transaction. Only the person registered in the Staff Master can be chosen. Extended Dropdown Box Optional
    Department (Own company) Register the department which is in charge of this sales order. Only the department registered in the Department Master can be chosen. Extended Dropdown Box Optional
    Transaction currency This is the currency used for the business transactions with this customer/supplier. This can be set in the Contact Master. Display Only Optional
    Balance of accounts receivable The balance of accounts receivable based on the received sales order or the quote in the past is displayed. The displayed balance does not include the amount of this sales order. If the [Invoice to] is specified for this customer in the Contact Master, the balance of accounts receivable of the contact designated as [Invoice to] is displayed. Display Only Optional
    Total amount sold The total amount of the sales order will be displayed after completing the entry. Display Only Optional
    Credit limit Displays [Credit limit] set for this customer in the Contact Master. Display Only Optional
    Total gross profit This is the total amount of the gross profit expected to gain based on the sales order. Display Only Optional
    Sales order remarks 1-3 Any remarks specific to this sales order can be registered here. Text Input Optional
    Register delivery at the same time If this box is enabled, the delivery entry will be made at the same time when the sales order is registered. Check Box Optional
    Print Delivery sheet at the same time If this box is enabled, the Delivery Sheet will be printed at the same time when the sales order is registered. Check Box Optional
    [New/Modify (Detail)] Section
    Product number This product number will be assigned automatically within each sales order. This number will be assigned for each item sold regardless of [Item control] set in the Item Master, such as MRP or product no. Display Only Optional
    Delivery status The delivery status of each order together with the total number of items ordered are displayed. Text Input Optional
    Item code This is the unique code assigned for each item. This code will be used throughout GENESISS to identify the item. If this field appears in the VIEW OPTION, it means that this parameter can be used to filter records. Extended Dropdown Box Optional
    Item name Name of each item can be defined here. This name does not have to be unique throughout GENESISS. If this field appears in the VIEW OPTION, it means that this parameter can be used to filter records. Extended Dropdown Box Optional
    Quantity This is the quantity ordered within this sales order. This quantity is to be registered by the parameter, such as [Quantity] in the Sales Order Entry screen. Numeric Value Input Optional
    Unit This is the unit of the item sold. Display Only Optional
    Sales order unit price Input the sales order unit price. Default price is determined by the following process.
    1. [Shelf No.] defined in the Customer Sales Price Master
    2. The amount multiplied with [Price adjustment rate] defined in the Contact Master and [Standard sales unit price].
    3. The amount multiplied with [Price adjustment rate] defined in the [Price adjustment rate group] set in the Contact Master and [Standard sales unit price].
    4. [Standard sales unit price] defined in the Item Master
    Please note that this price can be set manually as well.
    Extended Dropdown Box Optional
    Standard sales unit price Display Only Mandatory
    Amount ordered This amount is calculated by multiplying the [Quantity] by [Sales order unit price]. Both parameters are to be registered in the Sales Order Entry screen. Display Only Optional
    Taxable This is to indicate whether this item should be taxable or non-taxable. For the foreign-currency transaction, all transaction will be treated as non-taxable regardless of this setting. Display Only Optional
    Sales unit original cost This is the original cost calculated for product. This information will not be shown on the quote. This amount is automatically calculated by the following formula.
  • For internally manufactured items:
    [Std. mfg. time (min.)] x [Labor charge (per min.)] both defined in the Item Master.
  • For other items:
    [Stock assessment unit price ([key currency])] defined in the Item Master.
  • Numeric Value Input Optional
    Sales gross profit This is the amount of profit gained by this sales order. This is calculated by the following formula.
    ([Sales order unit price] - [Sales unit original cost]) x [Quantity].
    Display Only Optional
    Sales order due date Input the delivery date (more specifically, Shipping date) of the sales order. You cannot select the date earlier than the date of the sales order. Date Input Mandatory
    Qty. in stock For MRP controlled Items, the [] on today's date in the [Requested delivery date] is shown. This is the total quantity of stock at all locations. For the P/N and Lot controlled Items, always 0 is displayed at all times. Display Only Optional
    Sales order detail remarks 1 Any remarks specific to this sales order detail can be registered here. If this remarks has been trancripted from the quote, information registered in the [Quote remarks] has been set as default. Text Input Optional
    [List Screen] Section
    New When new line is inserted, the arrow icon will be displayed to highlight the line. Icon (link) Optional
    Detail By clicking this icon, detail of the entry can be displayed. Icon (link) Optional
    Copy If this icon is clicked, the information entered in the clicked line will be copied into the new entry screen. Icon (link) Optional
    Delete If this button is clicked after selecting the lines, the the lines selected will be deleted. Check Box Optional
    Print Document can be generated in a PDF format by clicking the document link after enabling the box for each entry. Check Box Optional
    Explode By enabling the box for the entry you wish to explode based on the Product Number and click on the Explode Product Number link, you will be directed to the [] screen with the specified item being exploded with necessary subcontract orders listed. Check Box Optional
    Printed This indicates that the document for this entry has been printed (generated in a PDF format). Display Only Optional

    Ship out lot Displays the shipping lot assigned at Sales Order - Batch Lot Allotment screen. This feature is only available if [Item control] of the sold item is set to lot. Display Only Optional

    Please note that this setting works only when [Qty. of logical stock] column is enabled at the select display fields box which can be displayed by clicking eye icon, . Also please check the setting of [Show qty. of logical stock] in the VIEW OPTION if nothing is displayed.
